This Privacy Policy explains how Ealing Plumber (Clive Ward and David Arthur, operating as a partnership) collects, uses and protects personal information you give us when you contact us, request a quote, or have us carry out plumbing, heating or gas work. We are committed to handling your personal information in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Who we are (data controller)

What personal information we collect

We collect only the personal information we need to provide a plumbing or heating service: your name, the address where work is to be carried out, a contact phone number and email address, a description of the issue you have asked us to look at, photographs you choose to send us, and where relevant for landlord work the property's tenant contact details so we can arrange access. For invoicing we record what work was done and the amount, but not your bank or card details. For Gas Safe regulated work (e.g. landlord CP12 certificates) we record the address, appliance details and inspection outcomes as required by the Gas Safety (Installation and Use) Regulations 1998.

How we collect your information

We collect personal information directly from you when you call us, send us an email, fill in a form on this website, or speak to us in person at your property. We do not buy contact lists or obtain your details from third-party brokers.

What we use your information for, and the lawful basis

• Responding to your enquiry and providing a quote — legitimate interests.
• Carrying out the work you have agreed to — contract performance.
• Invoicing and payment processing — contract performance, plus legal obligation for financial records.
• Issuing Gas Safe certificates and notifying Building Regulations through Gas Safe Register — legal obligation.
• Manufacturer warranty registrations (Worcester Bosch, Vaillant) — contract performance plus your consent.
• Reminding you when annual servicing is due — legitimate interests; you can opt out at any time.
• Tax and accounting records — legal obligation (HMRC requires retention for at least 6 years).

Who we share your information with

We only share your personal information where it is necessary to provide the service or where we are required to by law: with manufacturers (Worcester Bosch, Vaillant) to register warranties on your behalf; with Gas Safe Register to notify gas work to Building Regulations as required; with our accountant for invoicing and tax-return preparation; with payment processors when you pay by card; with HMRC and other authorities where legally required. We do not sell your personal information to anyone. We do not pass your information to any third party for marketing purposes.

How long we keep your information

• Enquiries that do not lead to work: deleted within 12 months.
• Job records and invoices: kept for 6 years from the end of the relevant tax year.
• Gas Safe inspection records and CP12 certificates: kept for at least 2 years.
• Manufacturer warranty registrations: kept for the lifetime of the warranty.

Your rights under UK GDPR

You have the right to: access the personal information we hold about you; have inaccurate information corrected; have your information erased (where there is no legal reason for us to keep it); restrict how we use your information; object to certain types of processing; request your information in a portable format; and withdraw any consent you have given us at any time.
